Job description

GENERAL OBJECTIVE    

Ayuda en Accion Uganda seeks a professional Program Support Assistant to support the program function of the organization at the regional coordination office, led by the Program Manager in coordination with the program staff. The Program Support Assistant provides substantive, organizational and logistical assistance to the program staff of AeA Uganda at the field Office in Adjumani. In this process, the Assistant will gain knowledge of the substantive and operational aspects of AeA Uganda’s programs.

TASKS OF THE PROGRAM SUPPORT ASSISTANT

The Program Support Assistant would be supervised by the Program Manager and would work closely with program staff, and s/he is expected to deliver the following tasks:

Resource Mobilization:

  1. Participate in and prepare input for preparing proposals for funding consideration including budget preparation

Program Management:

  1. Work alongside management staff in monitoring and supervision of planned activities under the organization’s four thematic areas of Value chains, Employment and Entrepreneurship, Protection/Solidarity Bonds and Humanitarian Response (COVID-19 Interventions), for example by elaborating on partners’ implementation of work plans.
  2. Support in the review of project activity budgets and financial reports where necessary.
  3. Contribute to developing minutes of field level and national programme meetings.

 

Monitoring and Evaluation:

  1. Support the Program Manager in improving/refining the M&E system to include research models of the M&E
  2. Provide guidance on improving AeA’s institutional reporting formats
  3. Support the programme team to regularly report on progress and implementation of activities
  4. Support reporting processes based on the performance of individual projects/initiatives and agreed outcomes, outputs, indicators
  5. Support and initiate the development of graphs to illustrate accumulated data for reports and presentations to stakeholders

Reporting and Communication:

  1. Support the writing of substantive reports and written contributions for various purposes, including inputs for donor reports, speeches, e-News, web-stories, fundraising efforts and other needs to provide the needed innovation for the growth of AeA Uganda program.
  2. Support research or studies on specific topics, when needed

Organizational Tasks:

  1. Assist in other programme implementation work, including programme assistance functions, such as mailing, logistical arrangements (meetings and travel arrangements, etc) and organizational coordination (liaison with participants, etc)
  2. Support the M&E Officer in developing and maintaining a resource database of experts, officials and institutions, ensuring the most relevant and up-to-date information, to facilitate programme related contacts and communication.
  3. Undertake other tasks and activities as requested by the Program Manager especially monitoring progress of partners’ activities and providing feedback for management to make relevant decision.

EXPECTED OUTPUTS / DELIVERABLES

  • The Program Support Assistant is expected to support the smooth running of the organization’s programme functions.
  • At the end of the assignment, the PSA is expected to produce an end of term report detailing accomplishments, challenges and any recommendations for management improvement.

 

 

EXPECTED OUTCOMES

  • The role provides an opportunity for the Program Support Assistant to gain experience working in both development and humanitarian nexus.
  • The Program Support Assistant will have opportunity to learn about AeA affairs – the work of the Ayuda en Accion Foundation to support the AeA community-building process.
  • The Program Support Assistant will also gain knowledge about the work environment and work ethics as well as skills in planning, monitoring and evaluation, management, coordination and administration skills.

TIME FRAME

From November 2021 for a period of 4 Months.

REMUNERATION

The Program Support Function is paid based on AeA’s rates for short to medium support function.

Requirements

QUALIFICATIONS AND SKILLS

  • Completion of an undergraduate/graduate degree programme of a recognized institution in a relevant programme
  • Good written and oral communication skills in English and Spanish
  • Ability to plan and organize work
  • Resourcefulness, initiative, enthusiasm and detail-oriented
  • Ability to work in a multi-cultural team environment
  • Very good computer skills including knowledge and experience in all Microsoft Office software (PowerPoint, Word, Excel, Outlook, etc)
  • Tech-savvy with knowledge of social networking tools, etc., is an asset
  • Demonstrate commitment to AeA Foundation mission, vision, and values
  • Display cultural, gender, religion, race, nationality and age sensitivity and adaptability
