Ayuda en Acción Foundation is a secular, non-partisan international non-governmental organisation (NGO) established in 1981 with a global commitment to fight against poverty, inequality, and exclusion. Its headquarters is in Madrid, Spain. The organisation operates in 20 countries within Africa, South and Central America and Europe (Spain, Portugal). In Ethiopia, Ayuda en Acción has supported a range of humanitarian and development interventions through local and international partners between 2002 and 2017; an independent country programme was established in 2018. Ayuda en Acción Ethiopia aspires to tackle poverty, inequalities and exclusion that perpetuate poverty. The organisation perceives women, men, girls, and boys as the centre of its efforts in the country, giving it an impetus to strengthen people’s and institutions’ capacities to meaningfully contribute to development and dignified life of all in Ethiopia. To achieve its mission, Ayuda en Acción Ethiopia has worked in the region of Afar, Oromia and SNNPR in close cooperation with local and international partners, international research institutes, public agencies, and private sector actors. 

 

Objective:

  • Ayuda en Acción Ethiopia invites competent and qualified candidates to apply for the vacant position of Project Finance Coordinator for its National Office.
  • Project Finance Coordinator oversees financial aspects of projects’ implementation in the Ayuda en Acción Ethiopia country programme, ensuring compliance with relevant policies and regulations at the national and field offices levels. She/he is responsible for developing accurate financial reports in line with the organisational objectives.

 

Responsibilities:

Finance reporting on internal (Regular Funds) and institutional funding

  • Review all financial transactions recorded in SAP and manage corrections of entries if any on monthly basis.
  • Support Operations Director in development of internal reporting and templates.
  • Prepare monthly financial implementation reports using adopted templates.
  • Follow up on financial expenditure and report variances if any.
  • Upload financial expenditure on Proyecta once reviewed by Operations Director.
  • Prepare financial expenditure reports as per donors’ regulations.

Focal person for local partners and other institutions (e.g., SACCOs)

  • Review financial reports prepared by partners.
  • Review financial documents of submitted by partners on quarterly basis.
  • Prepare capacity building training for partners, including SACCOs, based on the gaps identified and implement with support of Operations Director.
  • Review SACCOs’ accounting systems and documentation maintained.

Focal person for project audit

  • Ensure documentation of all sources of justification separately for each donor and accordance with codes in chronological order.
  • Prepare consolidated financial reports for audit.
  • Ensure compliance of all financial documents as per donor templates, including stamps etc.
  • Travel to area offices on quarterly basis to conduct internal audit.
  • Lead the process of annual project audits.

Capacity building training on strategic donors’ policies

  • Support Operations Director in identifying gaps with respect staff knowledge on donors’ financial policies and procedures.
  • Provide capacity building training to staff on gaps identified.
  • Provide refresher training for staff on internal policies and guidelines.
  • Support Operations Director in development of internal manuals.
  • Provide training to new staff of internal and donors’ regulations.

Any additional tasks requested by immediate supervisor

 

Requirements

Knowledge and experience:

  • At minimum, BA from recognized university in Accounting, Management or related field with advanced knowledge of MS Windows. An MA degree is preferred.
  • At least 7 years of work experience in Accounting and Finance Management in various sectors; at least 3 years in the NGO sector.

 

Languages:

  • Excellent verbal and written English

 

Geographical Mobility:

  • Yes: National

 

Desirable Trainings:

  • specific technical certificates like IPSAS, IFRS, ACCA and CPA;
  • trainings in financial and accounting procedures, financial and tax regulations, advanced financial software systems like SAP, SUN System etc;
  • financial management, international finance reporting systems, and other types of training related to the position are an advantage.

Offer Conditions:

  • Incorporation: immediately
  • Duration of contract: One year with possibility of extension
  • Workday: 40 hours per week
  • Work Centre: Addis Ababa with frequent travel to programme areas
  • Remuneration/Salary: in accordance with Ayuda en Acción's remuneration policy.
